Results are in, EMA needed!!!

A recent study from the international research firm, Aberdeen Group, found that in the next 12 months the top strategic action planned by nearly 70% of companies they surveyed is the adoption or improvement of technology to automate their expense management process.

At GlobalPoint Technologies we have seen the demand for Expense Management Automation software drastically climb over the past 12 months and with results from this study we can only expect that trend to increase exponentially. If you haven't already done so, now is the time to spool up your sales staff and make a push with ExpensePoint before your competitors beat you to the punch.

The two biggest reasons for companies wanting to improve their expense reporting process, is first to improve compliance and second that the costs to process reports are too high. The Aberdeen Group study found that companies who use automated expense management systems spend an average of $15 to process a single report while those using manual systems spend, on average, more than double at $31 per report. Clients who have implemented ExpensePoint WEB on average spend less then $10 to process an expense report which is less than one third the cost of using a manual system. If we multiply those savings by the amount of reports companies process each month, or year, we’re looking at direct cost savings which could reach well in to hundreds of thousands.

With the obvious growing need and demand for automated expense management software ExpensePoint’s reseller program shows enormous potential for sales and client growth. T&E = 2nd Largest Controllable Expense

Did you know that business Travel and Entertainment (T&E) expenses are an organizations 2nd largest controllable expense after payroll? Billions of dollars are spent each year on T&E by employees on behalf of their organizations, while most of these organizations are not taking advantage of available technology to manage these expenditures. Lack of T&E policy compliance and visibility into T&E spending are the two of the biggest challenges facing corporations looking to cut costs, according to a recent study by technology research company Aberdeen.

Automating corporate travel and expense management processes provides an opportunity to reduce direct and indirect costs, driving significant savings to a company’s bottom line. The Gartner Group found that; "...a five percent reduction in operating costs in the expense management process has the same impact as a 30 percent increase in sales".

Getting past the benefits of greater corporate control, policy compliance and increased employee
satisfaction and moral, companies will also realize productivity savings with their employees spending as much as 77 percent less time preparing reports compared to when using traditional methods. This enables those employees to spend more time on the value added tasks that drive the company’s revenue.

Companies will also realize huge savings in expense report processing costs. Sophisticated expense reporting solutions completely eliminate the cost of handling and processing paper and reduce the costs associated with human error. With a customized data export file companies can completely integrate their expense reporting data in to their accounting GL and Payroll systems which reduces long hours of manual data input and again further eliminates all possibilities of human error and the costs associated with those errors.

Implementing an automated expense reporting solution will also provide companies with the tools and data necessary to reduce overall company expenditures. Savings created by negotiating rates with commonly used vendors as well as savings realized by managing and implementing policies to reduce employee overspending are significant.

By implementing an automated expense reporting solution companies will increase control, save their employees time adding to overall productivity and save direct dollars on their bottom line.

Who Needs Expense Reporting Software?

This was a question recently brought to me by a potential reseller. Meaning, who can I sell this solution to? More specifically he wanted to know what industries and what sizes of companies could they expect to sell ExpensePoint WEB to. The answer was simple; today everyone needs an expense reporting solution.

Expense reporting solutions like ExpensePoint WEBTM, have historically been marketed predominantly to organizations with traveling sales people who are consistently creating and submitting expense reports. And while those organizations are still in need of an expense reporting solution, they have become just as popular with businesses of all industries and size. No matter what type or size of industry it is, when they automate their expense report process they will save time, headaches and most importantly, money.

With the question at hand, I wanted to back up what I was telling this candidate so I decided to do some research in to GlobalPoint’s client base in order to determine which industries are using ExpensePoint and which are more prominent. I found that not any one specific industry stood out as being prominent, and I found it difficult to find an industry where we currently do not have a client. The list below is only some of the industries in which GlobalPoint currently has client sites for. GlobalPoint has installed client sites with fewer than 10 users and up to now nearly 3000 users with an unlimited potential maximum user amount, and in all kinds of industry categories.

· Construction
· Oil and Gas
· Financial Services
· Banking
· Investment Firms
· Communication
· Information Technology
· Pharmaceuticals
· Health Care
· Light Manufacturing
· Agriculture
· Forestry
· Aerospace
· Airlines
· Aircraft Maintenance
· Retail
· Wholesale

Conclusion, any business in any industry of any size needs and can benefit from an expense reporting solution. The North American expense reporting industry, in itself, has been estimated to be worth over $5 billion with only 22% of that market currently being saturated.1

SOX Compliance Statement

Section 404 of the Sarbanes-Oxley Act states that reliable processes must be in place to ensure data accuracy. The consequences for not meeting these requirements are significant. Beyond the possibility of fines that could escalate into the millions of dollars, few public companies can afford to breach the hard won trust of their shareholders.

Although publicly held companies are subject to the requirements of Section 404, many private firms are adopting provisions to ensure their practices are consistent with what is becoming the new standard for business conduct.

By automating your organizations expense reporting process you can minimize risk by capturing the best practices of process automation while implementing the highest standard of internal controls.

How does ExpensePoint allow you to be SOX Compliant?

ExpensePoint;

  • Enforces policy conformity
  • Allows for audits of all transactions
  • Complies with section 404 of the Sarbanes-Oxley Act
  • And, allows companies to easily detect and prevent fraud

Determining the Cost of Expense Reporting

To determine the cost of administering a single expense report, we should first look at the expense report cycle. The chart below breaks the cycle into three distinct elements. It is imperative for all companies to look carefully at each single element of their own expense report cycle to determine their company's processing costs.

As we have seen in most other finance and administration processes, automation is the key to obtaining process improvement and ultimately cost savings. It is inevitable that companies who implement an automated end-to-end expense management solution, and address every element of the expense report cycle will save the most amount of money than those who only partially address this expense cycle.

Out with the old - in with the new!

In our fast paced technology driven world, companies today rely on new innovative solutions to replace old 'non-value added' internal and external accounting and administrative processes. The following functions represent just a few that have greatly benefited by the emergence of new software driven solutions: human resources management, accounting, payroll, external and internal mail delivery, document and data management, inventory management, purchasing and point of sale systems. These new and enhanced software solutions have provided many corporations with the ability to automate and streamline these processes and ultimately save many thousands of dollars.

A process considered by many corporations as long overdue for change is the manual function of travel expense reporting. In our high-tech corporate environments, where technology has virtually eliminated most manual processes, we still see that when it comes to travel expense reporting, most companies still require traveling employees to manually put pen to paper and complete travel expense reports for reimbursement. As the cost of business travel continues to rise, corporations are continually looking for ways to reduce their direct travel costs. Not only are corporations trying to reduce their direct costs of travel, but they are also paying greater attention to their ability to reduce the indirect cost of travel. The largest component of indirect costs is the expense report process.
